Job Details Job Title: Manager, Facility Maintenance Department: Engineering & Maintenance Location: Central Islip or Hauppauge, NY Employment Type: Salaried Salary Range: $76,000-$103,000 Work Hours: 8:30 AM - 5:00 PM - General Shift Job Description The Facility Maintenance Manager ensures efficient and compliant operationsof all pharmaceutical manufacturing equipment and utilities through effective maintenance planning, execution, and continuous improvement. The role supports GMP compliance, equipment reliability, and operational excellence. Responsibilities Oversee preventive, predictive, and breakdown maintenance activities for production equipment, HVAC systems, utilities, and cleanroom infrastructure. Ensure all maintenance activities comply with cGMP, safety, and regulatory standards. Coordinate with production, quality, and validation teams to support equipment readiness and minimize downtime. Review all near misses, incidents, accidents, WPI, deviations, and audit observations for appropriateness of CAPA to meet EHS standards. Track & drive closure as per agreed SLA. Ensure reporting as per standard. Lead root cause analysis and corrective actions for equipment failures and deviations. Ensure ME Priority standards are implemented for example Permit to Work, Chemicals Handling [Incl. Health & Hygiene], Contractor Safety, Critical & Controlled Elements, PPE, Incident Reporting & Investigations. Participate in Site Engineering Head's meeting/ EMR; report functional updates; assert technical judgments whenever necessary to optimize the Unit performance with an open and professional communication. Unit cGMP & EHS Requirement in the Manufacturing & Packing Area; support Unit Operations Team as required. Lead discussions with other sections of the maintenance department concerning reliability, spare parts management, and Asset Integrity to maximize the quality of the maintenance execution and Technical Availability. Interface and coordinate with the different maintenance teams and service providers to ensure reliability and sustainability of equipment repairs is guaranteed; consider the long‑term cost of ownership and risk management when outsourcing certain services to support the maintenance group. Develop a 'Zero' Rework culture on preventive and corrective maintenance activities. Ensure critical spares of critical equipment are maintained to reduce resolution time by predicting demand and reviewing availability. Develop, document, obtain approval of, and drive the execution of the Unit Capex Program to ensure timely completion. Ensure utility equipment and distribution systems are maintained as per CGMP requirements of the country where product is being exported and strict adherence of Good Engineering practices during task execution. Ensure validation & calibration are done as per the Master Validation & Calibration Schedule and that personnel are trained for validation and qualification. Review and evaluate the risk assessment along with risk management team e.g. FMECA & draw necessary CAPA. Evaluate change controls related to system, facility and document and study of impact related to changes and ensure implementation of change. Review major deviations as per standard procedure and necessary CAPA in relation to deviation system. Ensure adherence to Cipla Financial Control Polices, Standards & Procedures and ensure "effective" status on Control Environment and "no critical observations" in Internal Audits through periodic institutionalized reviews / audits with the Unit Heads / Functional Heads and the Site Finance Head. Maintain and update equipment qualification documents (IQ/OQ), calibration records, and maintenance logs. Supervise and guide maintenance technicians and contractors, ensuring adherence to SOPs and safety protocols. Support engineering projects including equipment installation, upgrades, and facility modifications. Monitor spare parts inventory and coordinate procurement to avoid delays in maintenance. Participate in audits and inspections, providing necessary documentation and technical support. Preparation of investigation report, root cause analysis, deviation and CAPA closure. Drive continuous improvement initiatives to enhance equipment performance and reduce maintenance costs. Monitor/oversee with any carpentry activities to include building walls/rooms with minimal guidance, installing repairs and finishing drywall to completion, priming/painting new and existing walls, ceilings, doors, etc. throughout the site internally and externally. Coordinate Technology Transfer / Product Transfer with other departments. Coordinate with other departments for compliance statutory requirements. Coordinate with central utility so that required quality utilities can be provided to plan. Handle the preventive maintenance of production equipment and machinery. Breakdown and preventive maintenance of BMS equipment and instruments. To check daily alarms in BMS and plan their immediate, corrective, and preventive maintenance. Operation of BMS and service floor equipment. Ensure the calibration activities are completed. Daily monitoring and maintenance of records of the purified water generation, storage, and distribution system. Initiate, plan and execute project with collaboration of cross functional team. Update management and stakeholders of project status. Qualifications & Experience Bachelor's degree in mechanical/electrical/Instrumentation Engineering or related field. 5-9 years of experience in pharmaceutical manufacturing maintenance, with at least 2 years in a supervisory or managerial role. Strong knowledge of cGMP, regulatory requirements (FDA), and cleanroom operations. Hands‑on experience with equipment like blenders, granulators, tablet presses, HVAC, and utility systems. Skills / Competency Proven leadership and team management skills, with the ability to guide, motivate, and support employees in a production environment. Strong problem‑solving and decision‑making abilities, including the capacity to assess issues, identify root causes, and implement effective solutions. Technical troubleshooting skills with the ability to diagnose and resolve equipment, process, or operational issues. Proficiency in documentation, record‑keeping, and compliance with company policies, safety standards, and regulatory requirements. Effective communication skills with the ability to collaborate across departments and work with cross‑functional teams. Self‑motivated and adaptable, with the ability to work efficiently in a fast‑paced manufacturing environment and manage multiple priorities simultaneously. Excellent organizational skills with a strong attention to detail and commitment to accuracy.
